Account Administrator - Manage users, View Roster Status, and View Licenses and Courses
Account administrators can now self-serve user management, including creating, editing, deleting, and reactivating users. The user can also view courses, roster status and roster history for the account.
Penda will create the user account for the Account Administrator. This role is different than a District Administrator and School Administrator role.
Manage users from the Staff page:
- From the left navigation bar, select Staff.
- Use the Search bar to locate a user by name.
Tips:
- Toggle on the Show deleted users to see all users in the search results.
- To reactivate a teacher to make them an admin, please open a case with our Support Team.
- Once locating a user, select action in the table below to manage their account:
| Select Schools | For School Administrators, add or remove the specific schools this user should have access to. | |
| Change Role | Update the user's role to a District Administrator, School Administrator, or Teacher. See Note 1 below | |
| Change Password | Manually reset or change the password for the user. | |
| Delete User | Inactivate a user so they no longer have access to Penda. (Note, you can reactivate the user) | |
| Activate User | Reactivate a user account that was previously deleted. |
⚠️ Note
- If you change a user's role to Teacher, ensure they have classes assigned to them or that their role is listed as "Teacher" in the automated roster files we receive. If neither condition is met, the user's account may automatically become inactive during the next system sync. To reactivate a teacher to make them an admin, please open a case with our Support Team.
How to create a District Administrator or School Administrator user:
From the left navigation bar, select Staff.
Click on the New User button in the upper right corner from the staff page.
Complete the users information and select a role, District Administrator or School Administrator.
Click Save.
TIP: Don't forget to provide login instructions to the end user!
View Roster Import Status and History
The Roster History section provides transparency into automated data syncs. This history contains only the last 30 days of imports.
From this page, you can:
View the status of the overall import.
View Warnings, Sanity Issues, or Errors encountered during a specific import run.
From the left navigation bar, select Roster History. From here you can:
View the Status and timestamps.
- See Status Table below for descriptions.
- Action is needed when the import is in the Confirm status.
View Warnings, Sanity Issues, or Errors by clicking on an alert box.
Download the Dataset by clicking on the Download icon
- Use to troubleshoot Warnings, Sanity Issues or Errors.

Select an Action for the import:
- Confirm/Reject processing of the import by clicking on the Confirm Processing icon
- Review the import data by clicking on the Review Import icon
- Confirm/Reject processing of the import by clicking on the Confirm Processing icon
Status Table
| Statuses | Description |
| NEW | Default status for new import of dataset |
| IMPORTING | Indicates that corresponding data in this import queue is retrieving and staging |
| VALIDATING | Indicates that the dataset is going through the validation process that collects any data issues that are logged in the warnings and errors column |
| IMPORTED | Indicates that the first phase of import is finished, and the corresponding data is staged to our tables. On this step, the import can be rejected |
| PENDING | Indicates that the second phase of import has started, and the dataset is ready to be processed |
| SANITY | Will produce an alert box if at least one course, school, class or 70% of the students in the class will be removed by import. View the alert for additional details. |
| CONFIRM | Indicates that the impact of import will delete some data and requires Confirm or Reject import changes |
| REJECTED | Indicates that import was rejected by user action |
| PREPROCESSING | Indicates that import is waiting for server to start processing |
| PROCESSING | Indicates that corresponding data (saving) from staging tables (or directly from data source) processing and saving to our internal tables |
| DONE | Indicates that data was processed and stored into our internal tables -> finished |
| ERROR | Indicates that import failed by a major issue, and error is logged in errors column |
| EMPTY | Indicates that import doesn't have data to be processed |
View Licenses
View licenses to determine the current active license/subscription the account has access to.
- From the left navigation bar, navigate to the Licenses section and select Licenses.
View Courses
View the schools and associated courses and licenses.
- Select Simplified Mode
- Select a School, view the Courses column to see all courses Licensed.
- Select a Course to view the Licenses applied to the Course.
- Applied Licenses are indicated by the checkmark
